Role Overview We are seeking a polished proactive and highly organized Administrative Assistant to provide essential support to our Vice Presidents Directors and Managing Directors in our New York office. This individual will play a central role in the day-to-day operations of the office — managing communications coordinating logistics and creating a seamless experience for both staff and guests. The ideal candidate is a self-starter who anticipates needs before they arise and takes pride in keeping a professional environment running at its best. Key Responsibilities Provide comprehensive administrative support to senior team members including calendar management across multiple time zones email correspondence and travel coordination. Drive efficiency through strong organization attention to detail and effective prioritization of multiple deadlines. Coordinate meetings involving clients investors or deal counterparties anticipating conflicts before they arise Create and manage detailed itineraries (flights hotels ground transport) often on short notice Coordinate conference rooms video conferencing and materials for both internal and external meetings Handle last-minute changes gracefully when deals or client needs shift priorities Serve as a polished first point of contact for clients partners and senior leadership ensuring a welcoming and professional experience Process expense reports and reimbursements accurately and on time Qualifications 2–4 years of experience in an administrative support role preferably within a professional services or financial services environment. Exceptional organizational skills and meticulous attention to detail. Strong written and verbal communication skills with the maturity and presence to interact confidently with senior executives and clients. Demonstrated ability to multitask prioritize effectively and thrive in a fast-paced dynamic setting. Proficiency in Microsoft Office Suite (Outlook Word Excel PowerPoint and Zoom) familiarity with travel booking tools a plus (Brex). Comfortable operating within a small collaborative office environment. A proactive problem-solver who works well independently and as part of a team. Bachelor's degree required. U.S. work authorization required (the firm does not sponsor work visas).
